Privacy Policy

This Privacy Policy explains how Fast and Forward Software, S.A. de C.V. ("Unifix", "we", "us") handles personal information in connection with the Unifix service (the "Service"). It applies alongside our Terms of Service.
Two roles, two documents
We handle two different kinds of data, and the difference decides which document governs it:
- Data we control. Information about the people who hold and use a Unifix account — your name, email, and billing details. This Privacy Policy governs that data.
- Data we process for you. Everything you put into Unifix about your own clients and contacts — tickets, descriptions, phone numbers, addresses, service records. You decide what goes in and why; we only process it to run the Service for you. That data is governed by our Data Processing Addendum, not this policy.
1. What we collect and why
- Identity and account data. Your name and email address, so you can sign in and we can contact you about your account.
- Billing data. When you subscribe, your payment is handled by Stripe. We store the billing details we need to manage your subscription — we never see or store full card numbers.
- Product usage and logs. Our servers automatically record technical data — IP address, browser and device type, timestamps, and actions taken — to keep the Service secure and working, and to diagnose problems.
- Correspondence. If you email us for support, we keep that correspondence so we can help you and improve.
We collect only what we need to run the Service. We don't buy personal information about you from data brokers.
2. Your customers' data
The Content you record in Unifix about your clients — including any personal information about them — is yours. We act as your processor and handle it only on your instructions, to provide the Service. How we protect it, who we share it with, and what happens to it when you leave are set out in our Data Processing Addendum. You're responsible for having a lawful basis to record that information with us.
3. When we share information
We never sell your personal information. We never have, and we never will.
We share information only in these situations:
- Subprocessors. We rely on a set of trusted vendors to host, operate, secure, and support the Service. Each may process data only as needed to provide its service to us, under a contract requiring it to protect that data consistent with this policy. Our subprocessors are: Amazon Web Services, Anthropic, Axiom, Cloudflare, Datadog, Hetzner, Mailgun, OpenAI, PlanetScale, Resend, Amazon SES, Sentry, and Stripe.
- Support access. Our staff will access the data in your account only when you ask us to for support, when it's needed to fix a technical problem, when it's needed to keep the Service secure, or when the law compels us.
- Legal requests. We disclose information when we're legally required to. Our default stance is to push back on requests that are overbroad or improper.
- Business transfer. If Unifix is acquired or merged, your information may transfer as part of that deal; it would remain subject to this policy, and we'd notify you.
4. AI features
Some features — like drafting a ticket from an incoming email and suggesting ticket titles — are powered by a third-party AI provider (Anthropic, and OpenAI as a fallback). The relevant content is sent to them solely to generate that result. It is not used to train their models, and it isn't retained by them beyond what's needed to provide the feature and meet their legal obligations.
5. How we secure your data
We encrypt data in transit with TLS, and we encrypt sensitive fields and personal information at rest. Database backups are encrypted. No system is perfectly secure, but we take reasonable, current measures to protect your information and keep them under review. Our Security Overview has more detail.
6. Retention and deletion
We keep your account data for as long as your account is active. When you cancel, your Content becomes inaccessible right away; we delete it from our active systems within 30 days and from our backups within 60 days. We may retain limited records longer where the law requires it — for example, billing records for tax purposes.
7. Where your data lives
We process data in the United States and the European Union, depending on the vendor. Wherever your information is processed, we protect it as described here. Where personal data is transferred out of the European Economic Area, United Kingdom, or Switzerland, that transfer is covered by the European Commission's Standard Contractual Clauses, incorporated into our Data Processing Addendum.
8. Your rights
Wherever you live, we extend the same core rights over the personal information we hold about you: to access it, correct it, export it, or delete it, and to object to or restrict how we use it. To exercise any of these, email us at support@unifix.io. We may need to verify your identity first. If you're in the EEA or UK and think we've mishandled your data, you also have the right to complain to your local data protection authority.
If you're asking about data we hold on behalf of one of our customers — for example, because you submitted a support ticket to a business that uses Unifix — please contact that business directly. They control that data; we only process it for them.
9. Cookies
We use only the cookies we need to run the Service — to keep you signed in and to protect against cross-site request forgery. To understand traffic we may use a privacy-first analytics service such as Plausible or Fathom, which are cookieless and don't collect personal information or track you across sites. We don't use advertising or cross-site tracking cookies.
10. Children
Unifix is a tool for businesses and isn't directed at children. We don't knowingly collect personal information from anyone under 18.
11. Changes and contact
We'll update this policy as the Service evolves. When we make a material change, we'll update the date above and, for significant changes, notify you by email. Questions? Email support@unifix.io.
